Precision 365 App Privacy Notice

Version 2026-11-01. Last updated 1 November 2026.

1. Who we are

This notice explains how Precision Personal Training ("Precision PT", "we") uses your information in the Precision 365 app and in our coaching. It applies to anyone who applies for coaching or uses the app.

Precision PT is the data controller. That means we decide how your information is used and we are responsible for it.

We don't have a Data Protection Officer because we're a small business. Kyle handles privacy questions personally.

2. What we collect

We only collect what we need to coach you. Items marked ★ are health information, which the law treats as especially sensitive.

3. Why we use it, and our legal basis

We use your information to coach you, and for nothing else. We never sell it.

WhyLegal basis (GDPR)
Reviewing your application and setting up your accountTaking steps to enter a contract with you (Article 6(1)(b))
Building your programme, targets and meal guidance, and reviewing your check-insOur contract with you (Article 6(1)(b))
Using your health information for all of the aboveYour explicit consent (Article 9(2)(a))
Messages, reminders, check-in prompts and event updatesOur contract with you; reminders only if you switch them on
Keeping accounts secure and fixing problemsOur legitimate interest in running a safe service (Article 6(1)(f))
Occasional news and event emailsYour consent, only if you ticked the box (Article 6(1)(a))
Keeping a short record of deletion and data requestsOur legal obligation to show we handled them (Article 6(1)(c))

Your consent to health information. We ask for it when you apply and again in the app. We record the date and the version of this notice you agreed to. You can withdraw your consent at any time by asking for your account to be deleted (in the app: Profile → Privacy & your data, or email us). We can't coach you without it, because your plan depends on it. Withdrawing doesn't affect anything done before you withdrew.

We don't make decisions about you by automated means. Your coach makes every decision about your programme.

4. Who can see it

Only you and your coaching team can see your records. Other clients never see them.

  • Your coach sees the clients they look after.
  • Kyle and the app's provider can see all clients. The app's provider built and runs the app, and covers when Kyle is unavailable. The app's provider works under a written data processing agreement with us.
  • Everyone on the team signs in with two-step verification.

These companies run parts of the app for us. Each may only use your information to provide their service to us, under a data processing agreement:

CompanyWhat they doWhere
SupabaseStores the app's data and photos, and handles sign-inIreland (European Union)
ResendSends sign-in and invitation emailsUnited States
ExpoDelivers app notifications to your phone (if you switch them on)United States
Apple / GoogleDeliver notifications; distribute the appWorldwide

Where information goes outside the European Economic Area, it's protected by the EU–US Data Privacy Framework or the European Commission's Standard Contractual Clauses. Notifications on your lock screen use general wording ("A new message from your coach"), so private details don't show.

We only share your information with anyone else if the law requires it, or to protect someone's life in an emergency.

5. How long we keep it

We keep your records while you're a client, and for 24 months after you last use the app, so your history is still there if you come back. After 24 months with no activity, your account, photos and records are deleted automatically.

  • "Activity" means opening the app, logging, checking in, messaging or signing in.
  • We keep a person's records longer only for a specific reason, such as a legal claim. If that happens, we'll tell you.
  • Applications that don't lead to coaching are deleted 24 months after they were sent.
  • You can ask us to delete everything sooner at any time (see section 7). We'll do it within one month.
  • Deleted information stays in our backups for up to 7 days, then it's gone.
  • When we delete an account, we keep a short note of your name, email and the date it was deleted, to show we did it.

6. How we keep it safe

  • Information is encrypted when it's sent and when it's stored.
  • Access rules in the database mean each person can only reach the records they're allowed to see. We test these rules every time the app changes.
  • Your sign-in on your phone is stored encrypted, with the key held in your phone's secure storage.
  • Progress photos are kept in private storage, and links to them expire after one hour.
  • Everyone on the coaching team uses two-step verification.
  • If something ever went wrong that put your information at risk, we would tell the Data Protection Commission within 72 hours, and we would tell you if it affects you.

7. Your rights

You can ask us to:

  • give you a copy of your information (in the app: Profile → Privacy & your data → Ask for a copy);
  • correct anything that's wrong;
  • delete your account and records (in the app: Profile → Privacy & your data → Ask to delete my account);
  • restrict or object to how we use it;
  • move your information to another service, in a common file format;
  • withdraw your consent at any time.

You can also email kyle@precisionpt.ie. We'll reply within one month and won't charge you. We may need to confirm it's you first.

Complaints. If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Data Protection Commission at dataprotection.ie (online form, or by post to 6 Pembroke Row, Dublin 2, D02 X963).

8. Other things you should know

  • Age. Coaching through the app is for adults aged 18 and over.
  • Not medical advice. Your coach isn't a doctor. If you have pain, an injury or a health concern, speak to your GP or a physiotherapist. In an emergency, call 112 or 999.
  • News emails. We only send these if you opted in. Every email has an unsubscribe link, or you can just tell us.
  • Notifications. You choose which reminders you get, and when, in the app (Profile → Reminders & notifications). You can also switch them all off in your phone's settings.
  • Changes to this notice. If we change it, we'll update the version date at the top. If the change affects how we use your health information, the app will ask you to agree again before you carry on.
